Executive Assistant & Office Manager

Main Responsibilties
  • Responsible for extensive, proactive and responsive diary management for the CEO, COO and CPO

  • Managing meetings, setting up candidate interviews and managing reminders

  • Initiate and respond to emails 

  • Coordinate and prepare for digital and physical meetings and events by gathering relevant documentation

  • Coordinate Board meetings including preparation support, pre-reading papers, Board packs etc

  • Manage assigned projects and follow-ups with team members to track progress where required

  • Track spend and budget management in conjunction with the Finance team

  • Manage upkeep of org charts in conjunction with the People team

  • Office management activities such as office supplies, organising the office layout and equipment, ensuring refreshments are available in the office and prepared for meetings with internal and external stakeholders

  • Provide other administrative support including proofreading documents and preparing high-quality presentations

  • Support with events and participation in various ad hoc projects

  • Conducting assigned research, including analysing and summarising key findings to support decision making

  • Arranging detailed travel itineraries including visas, logistics and travel packs

  • Manage expenses and monthly claims

Qualifications and Experience
  • Proven c-suite experience of working independently in a high volume, fast-paced environment

  • Proven experience providing senior EA support to an Executive with a demanding international workload and schedule

  • High degree of integrity and experience in managing confidential information

  • Strong organisational skills, willing to roll up their sleeves and juggle multiple and changing priorities

  • Experience managing projects

  • Advanced skills in G-suite and MS Word, Excel, PowerPoint, Outlook and Adobe packages

  • Excellent attention to detail and accuracy in all aspects of work

  • Resilient under pressure, with ability to maintain composure and positively manage change and unforeseen situations

  • Strong team player, great communication skills and someone who is able to build strong relationships with all colleagues
